How to Switch Commercial Cleaning Companies Without a Service Gap

When it's actually time to switch
Every vendor has a bad night; that's not a reason to switch. The reason is a pattern: the same misses recurring after you've complained, scope quietly shrinking while the invoice doesn't, crews rotating so often nobody knows your building, calls answered by apology instead of correction. A useful test — if service improves for two weeks after every complaint and then slides back, the problem isn't the crew, it's the company's system, and systems don't fix themselves for one account.
Before you give notice
- Read your contract first: note the required notice period, any auto-renewal date, and early-exit terms. Time your switch so notice lands inside the window — auto-renewals have trapped many managers into another year.

The handover checklist: keys, codes and access
The riskiest part of a switch is physical access. Inventory every key, fob and access card the incumbent holds and collect them on the final day — in writing. Change alarm codes and door codes the incumbent used; a departing vendor's crew shouldn't retain working access to your building even when the parting is friendly. Confirm who owns any supplies, dispensers or equipment on site, and settle consumables (paper, soap, liners) so the first week under the new vendor isn't a scramble.
Give the new company its own codes, written access instructions and an emergency contact — and get their crew roster commitment in return: the people holding your keys should be background-checked employees, not whoever was available that night.
Sequencing the transition
A clean cut works for most buildings: incumbent's last visit Friday, new vendor's first visit Monday, with a joint or solo final walkthrough in between to document condition. For complex facilities — medical suites, multi-tenant buildings — a short overlap or an early alignment walkthrough with the new crew pays for itself: floor by floor, the quirks that took your current vendor a year to learn get transferred in an hour instead of rediscovered by trial and error on your tenants.
Don't hire the same problem twice
Whatever drove the switch, write its prevention into the new arrangement: a written scope by task and frequency, a stated quality-control mechanism (inspections, photo verification, a named escalation contact), and terms that keep the pressure on the vendor — month-to-month beats a multi-year contract that outlives the honeymoon. A company confident in its service doesn't need to lock you in to keep you.
